How hearing care networks are run today

Usually with three things at once: a spreadsheet, paper, and software that does not know Polish regulations. Each works on its own. Together they stop working.

A schedule kept in three places at once

A paper diary at reception, a spreadsheet with the manager and notes on the audiologist's phone. The patient calls the wrong location and nobody knows whether there is a free slot.

NFZ claims checked after the fact

That a claim was issued on a day when no licensed audiologist was on site usually comes to light during an audit. By then the only question left is how much has to be paid back.

Paying extra for what is mandatory anyway

KSeF, fiscal printers and NFZ claims are sometimes priced as add-on modules or a higher plan. These are not premium features — without them you simply cannot operate a clinic in Poland.

Data you cannot take with you

Patient records sit in the supplier's system, and leaving depends on their goodwill and their quote. That is not a contract, that is a dependency.

Polish regulatory compliance

NFZ and KSeF are not add-ons. They are a condition of trading

Without them you cannot run a clinic in Poland, so we do not treat them as premium features or a reason to move up a plan. They are in every package at no extra cost — including compliance gap detection against audiologist rosters, which is genuinely hard to find elsewhere.

Compliance gap detection

A reminder costs less than an empty slot

Sending is included in every plan: 200 segments per month per location. No separate contract with an operator, no external gateway to wire up.

We bill segments, not "messages"

The operator counts an SMS every 160 characters, but a single Polish diacritic switches the encoding and cuts the segment to 70. That is why we talk about segments — promising "200 messages" would part company with the invoice the first time someone writes a longer message in Polish.

Beyond the bundle: PLN 0.20 net per segment, and only once you switch it on. As the bundle runs down we hold marketing campaigns first — appointment reminders keep going to the last segment.

Security and GDPR

Accountability, not a compliance badge

You work with medical records, so the question is not "is the system GDPR compliant" but "what exactly does it do with patient data". The answer is below.

A Polish data centre with ISO 27001

Servers sit in Exea Data Center in Toruń: the facility holds ISO/IEC 27001 and ISO 22301, and an Uptime Institute TIER III certificate. Those certificates belong to the data centre operator, not to us — we have not been through an ISO audit ourselves and we do not pretend otherwise.

An access log for patient records

We record every time a patient record is opened: who, when, from which address, from the panel or the phone. Old entries are purged automatically. This answers the GDPR accountability principle rather than declaring compliance with it.

Access only from clinic networks

The company sets the permitted IP addresses. The message appears at sign-in, not after the first click.

Company data export

You take your data and leave, without asking our permission and without a charge for the export from the panel. For large networks, a full handover of the complete dataset in an agreed format is arranged separately — but the self-service export is always there.

Time-limited support sessions

When support looks at your account the session is time-limited, logged, and visible on screen throughout.

Sign-out on inactivity

The inactivity timeout is set by the company, not the user. The reception computer does not stay signed in for a whole shift.

Cutting off devices remotely

A lost phone is cut off from the panel immediately, without waiting for the session to expire on its own.

Data minimisation

Staff see colleagues only from their own locations, and without email addresses. The data anyone can reach follows from their role, not from chance.

Questions

What owners ask before deciding

Our data is in another system. Can it be moved?
Yes. Clients and users are imported from a file in two steps: first you see a preview of exactly what will be saved, then you confirm. Measurement results come across via XML import from NOAH. Importing is included in every plan.
What happens to our data if we leave?
You download a company data export from the panel, yourself and free of charge, at any network size. You do not have to ask for it or wait for our approval — it is a feature of the system, not a gesture of goodwill on the way out. If your network is large and you need the complete dataset in a format agreed with your new supplier, we will prepare it: that is several days of work, so scope and cost are agreed separately.
What is the notice period?
On monthly billing you cancel whenever you like, effective at the end of the month you have paid for. There is no annual commitment and no termination penalty.
How does NFZ compliance gap detection work?
The system knows your licensed audiologist rosters — who worked at which location and when. It matches that against the dates on subsidy claims and flags claims issued on days with no licensed person present. You see them before an auditor does.
Will it handle several locations at once?
Yes. It is built multi-entity from the ground up: company, locations, users. The calendar and reports work across the whole network or for a single location on their own.
Do we need to install anything?
No. The panel runs in a browser and the mobile app is on iOS and Android. For fiscal printing all you need is the printer itself.
Who runs the onboarding?
We do. We set up the company and locations, import your data, configure roles, audiologist rosters and stock, then train your team online. For a single location this fits within the first month. For a network it is a separate one-off fee, because each clinic is brought live individually.
What languages does the interface support?
Polish and English. Each user picks their own language, so a regional manager can work in English while the clinic team works in Polish, on the same data.
